How does sign-off work in the Reports centre?

Short answerA report can need sign-off before it is shared, shown in the client portal or sent. Choose it when you make the report, or have your workspace ask for it on every report under Reports → Settings. The people who may sign off get an e-mail, read the report and sign it off or ask for changes; a signed report carries "Signed off by" with the date and a fingerprint of its figures.

Ask for sign-off

In Make the report, under Sign-off, choose who signs it off: anyone who may sign off reports (owners, admins and approvers have the Sign off reports permission), or one named person. If your workspace asks for sign-off on every report, the report needs it whatever you choose.

When the report is made, the people who may sign it off get an e-mail, and a reminder each day while it waits (three at most, by default). Until it is signed off the report can be read and downloaded by your team, but it cannot be shared by link, shown in the client portal or sent on its schedule.

Sign off or ask for changes

Open the report in the Library. Under Sign-off you see who asked and when, and the comments. Write a note if you like, then:

  • Sign off: SEOmise checks that the report is exactly the one that was made (its fingerprint), records you, the date and the fingerprint, and stamps "Signed off by" on the report, its PDF and its link page. Sharing and sending open up, and a scheduled report waiting for you is sent at once.
  • Ask for changes: the maker gets your note by e-mail and makes a new version (the old one stays as it was); the new version waits for sign-off again.

Anyone in the thread can Add comment. A signed report is never edited: changes always make a new version.

Workspace rules

Under Reports → Settings, the people who manage the team choose:

  • Reports need sign-off before they are shared or sent (off unless you switch it on);
  • Who signs off: anyone who may, or one named person;
  • The person who made a report may sign it off: without it, the maker signs off only when nobody else in the workspace may.

Staff reports in Admin can need sign-off too: a super admin, or a named staff member, signs them off.
