How do I send clients a monthly update on their rankings?

Short answerReports → Client update e-mails sends each client a branded e-mail every month (or week) with the keywords that moved up and down, new entries into the top 10, average position, search visibility, Google clicks, the work done and what comes next. Choose who gets it, the day and hour, and whether you approve each one first.

Updated 20 October 2026

What the e-mail says

Each update covers the calendar month before (or the Monday-to-Sunday week before), from data SEOmise already holds. Nothing is looked up, so it costs nothing.

  • A headline in plain words, such as "12 keywords moved up and 3 moved down; 4 are new in the top 10."
  • Key figures with the change: search visibility as a score out of 100 with its bar, average position, keywords in the top 3 and top 10, and Search Console clicks and times shown when Search Console is connected. A figure that improved is green, one that dropped is red, and the value before is in brackets. They are the same figures as the key figures on Positions.
  • Top gains and top losses: the keyword, its position before and now, and the change. Five of each by default. Where you track more than one place or device, it says which.
  • New in the top 10 and dropped out of the top 10.
  • The map grid average position and AI answers that name the business, when you track them.
  • Work done this period (changes applied, tasks completed, pages published, links, review replies and your own work log) and Next (the top open tasks of the AI Plan).
  • A button to the full report and a button to reply with a question. Losses are shown honestly, with a short note on why rankings move. A part with no data is left out. Search visibility uses the same formula as Positions: the click share a keyword's position earns, weighted by the keyword's weight, as a percentage of what position 1 would earn.

Set it up

  1. Open the project, then Reports → Client update e-mails.
  2. Tick Send client updates for this project.
  3. Choose how often (every month, or every week), the day, the hour and the time zone.
  4. Who gets it: tick the client's contacts and the people of the workspace (portal users included). You can add another address only when the person agreed to get it; tick that when you save. It is recorded with your name.
  5. Approval: with Hold for my approval, a draft is ready a few days before (two by default). Read it, add a note for the client, then Approve or Skip. Nothing goes out until you approve it, unless you tick If I have not approved it, send it on time anyway.
  6. Choose what the full report button opens: the project or the client portal (both need signing in), or one of the project's live report links.
  7. Look at The e-mail with this project's real figures at desktop or phone width, and press Send a test to me. Tests are marked "[Test]" and go only to you.

Agencies can switch the monthly e-mails on or off for every project of a client at once under Agency → Clients: the Monthly e-mails switch on each client group. It uses the client's contacts.

Your brand

With white label, the e-mail goes out in your brand: your logo, colours, name and e-mail sending, and your company details in the footer. It never names SEOmise and never shows Mise. Change the wording and layout in your design studio (Client update (rankings, monthly or weekly)): every part can be set to show only when it has data this time.

Unsubscribing

Every update has its own unsubscribe link, which works without signing in and stops only that person's e-mail for that project. Someone who unsubscribed is added back only when you confirm they asked for it.

History

Sent and planned lists each update with its status, how many people got it and, when the mail system records them, opens and clicks. To keep the figures as a PDF, an Excel file or a share link, press Keep it as a report: it opens the Rankings and positions report in the Reports centre (where your plan has it).

Changing the schedule or approving needs the right to manage the project (Owner, Admin or SEO manager); client users can read the page but not change it. Staff can pause every client report e-mail at once.
