How do seats work, and how do I add or remove one?

What takes a seat

• Team members with a role above Viewer, and anyone you share a project with above Viewer, take one seat each, however many projects they work on.
• Viewers are free: team viewers and people who only view shared projects take no seat.
• Invitations still waiting above Viewer hold a seat until they are accepted or withdrawn.

Seats in your plan

The pricing page and Billing → Seats show the seats your plan includes. Some plans include admin seats and user seats (for example one of each): owners and admins take admin seats, everyone else above Viewer takes a user seat. Seats you buy fit either kind. On plans without kinds, any seat fits anyone.

If you started before seat kinds were introduced, you keep the seats your plan had.

Adding seats

• When you sign up for a plan that sells seats (Business and Agency by default), the plan step has Add seats: choose how many (up to the most shown), see the price per seat for the billing period you picked and the new total, then tick the sentence that says what you agree to pay. The seats are part of your first payment (or start with your free trial) and appear under Billing → Seats.
• Later, open Billing → Seats → Add seats. Choose how many, read the price and today's part-period charge, tick the sentence and press Buy. The seats are added straight away; the part of the current period is on your next invoice.
• When you invite someone and no seat is free, the invitation says This takes a seat with the price; an owner can buy the seat and invite in one step.
• Only owners (and billing managers, when the platform allows it) of the workspace that pays can add seats. Agencies pay for their client workspaces' seats.

Removing a seat

Open Billing → Seats and press Remove on a seat. Before you confirm, it shows:

• the day the seat ends;
• whether it is still charged at your next billing date, and how much;
• Last day to remove a seat without being charged for the next period.

The rule:

• A seat always ends at the end of a billing period. There are no refunds for the period already paid.
• Remove it at least your plan's notice before the billing date (by default 1 day on monthly plans and 30 days on yearly plans): it works until the billing date and is not charged again.
• Remove it later than that: it is charged for one more period, works through it and then ends.
• Until it ends the seat shows Ending on its last day, with Undo.

If every seat is in use, removing one asks who loses access on the end date (never the owner or the last admin), or you can change a collaborator to Viewer first.
